1. Who we are
Kihon is management software for martial arts schools, built and operated by Kihon HQ LLC, a Texas limited liability company. In this policy, "Kihon," "we," "us," and "our" mean Kihon HQ LLC. This policy covers our marketing website (kihonhq.com), the interactive demo (demo.kihonhq.com), and the Kihon product once your school has an account. You can reach us using the details in the Contact section at the bottom.
2. What we collect, and why
When you request early access or contact us
If you fill in a form on our site, we collect what you type: your name, your email, and any details you share about your school (its name, website, the disciplines you teach, rough size, what software you use today, and what frustrates you about it). We use this to reply to you, to understand who we are building for, and to prepare a relevant demo. To keep the form free of bots, we use Cloudflare Turnstile and basic timing checks, and we record a coarse, approximate location (city and region) derived from your IP address.
When you use the demo
The interactive demo is a self-contained preview. It runs entirely in your browser and stores its sample data in your browser's local storage. We do not receive or store the things you click, type, or change inside the demo. A personalized demo link only carries the setup details we put into it for you (for example your school's name and the words you use for members).
When your school uses Kihon (once live)
To run a school, Kihon stores the records your school enters: member and family profiles, contact details, attendance, rank and grading history, documents and signatures, messages, and billing details. Some of this can include information about minors. Your school owns and controls that information, and Kihon holds it on the school's behalf (see "Student and family information" below).
When we email you
If we send you email, our email provider processes the delivery, and we keep a record of what was sent and whether you opted out, so that we can honor your choice. Every marketing or campaign email includes a clear way to unsubscribe.
Automatically
Like most websites, our hosting and security provider (Cloudflare) processes basic technical data such as your IP address and request information to serve the site, protect it from abuse, and keep it fast. We keep analytics minimal and we do not run third-party advertising trackers on our site.
3. Student and family information
When a school uses Kihon, the school is the owner and controller of its members' information, including any information about children. Kihon acts as the school's service provider (a processor), handling that data only to provide the service and only as the school directs. We do not use a school's member data for our own marketing, and we do not sell it. A school can export or delete its data at any time. If you are a parent or member and want your information changed or removed, please contact your school directly, since they control the records.
4. How we use information
- To provide, operate, secure, and improve the service.
- To respond to you and provide support.
- To process payments and send receipts and account notices.
- To send updates you asked for, and occasional outreach you can opt out of.
- To prevent fraud and abuse, and to meet legal and tax obligations.
5. Who we share it with
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We use a small set of trusted service providers to run Kihon, and we share only what each one needs to do its job:
- Cloudflare for hosting, storage, and security.
- Stripe for payment processing.
- Resend for sending transactional and account email.
- Supabase for the product's application database.
We may change these providers as Kihon grows, and we will keep this list current.
We may also disclose information if the law requires it, or to protect the rights, safety, and property of Kihon, our customers, or the public. If Kihon is ever involved in a merger or acquisition, we will tell you before your information becomes subject to a different privacy policy.
6. Payments
Payments are handled by Stripe. When a school uses Kihon Payments, the school remains the merchant of record and Kihon never holds the school's funds. We do not store full card numbers. Stripe's handling of payment data is governed by Stripe's own privacy policy.
7. How long we keep it
We keep waitlist and contact details for as long as needed to follow up and as long as you are interested, and account data for as long as your school has an account. After that, we keep only what we are required to keep for legal, tax, or accounting reasons, and then we delete or anonymize it. You can ask us to delete your waitlist or contact information at any time.
8. Your choices and rights
You can ask us to access, correct, export, or delete the personal information we hold about you, and you can object to or limit certain uses. Because we do not sell data or run ad trackers, there is nothing to opt out of there. To exercise any of these, contact us using the details below, and we will respond within a reasonable time. We will not discriminate against you for exercising your rights.
9. Email and unsubscribing
Every marketing or campaign email we send includes an unsubscribe link, and you can also reply with "STOP." When you unsubscribe, we record it and stop sending you automated email. We may still send you necessary account or transactional messages (for example a receipt or a security notice) if your school has an account.
10. Security
We use reputable infrastructure and reasonable technical and organizational measures to protect your information. No method of storage or transmission is perfectly secure, so we cannot guarantee absolute security, but we work to keep your data safe and to limit who can access it.
11. Children
Our website and demo are intended for school owners and staff, not for children, and we do not knowingly collect personal information directly from children through them. Where a school stores information about minors inside Kihon, it does so as the controller of that data, under its own agreements with families.
12. Where we operate
Kihon is based in the United States, and we process information in the United States. If you contact us from outside the United States, you understand that your information will be handled here.
13. Changes to this policy
We may update this policy as Kihon grows. When we make a meaningful change, we will update the date at the top, and for significant changes we will give notice on the site or by email. Your continued use after an update means you accept the revised policy.
